Information we collect
We collect account information such as your name, email address, account role and authentication identifiers. Applicants provide inquiry details, including visa interests, location, preferred language and a description of the help they need, as well as contact details supplied for a connection.
Businesses provide professional and business details, registration information, website or social links, introductions, service interests and notification preferences. We also keep records of expressions of interest, selections, contact-sharing permissions and consent, including the applicable wording and time of acceptance.
Our service providers may collect technical information such as IP addresses, browser information and request logs for operation and security. If you enable push notifications, we store the subscription details needed to deliver them. Browser storage supports sign-in, preferences and application features.
Website analytics
We use Google Analytics to analyse website visits and request-submission events. We store first-visit campaign labels (utm_source, utm_medium, utm_campaign and utm_content) in your browser and with submitted requests so authorised administrators can understand how visitors find VisaProLink. We do not include your name, email address, phone number or written request in these analytics events.
Advertising measurement
When enabled, we use the Reddit Pixel to measure visits to selected public pages and completed request submissions. It may process IP addresses, browser and device information, cookies, advertising click identifiers and page/referrer information. We do not supply names, email addresses, phone numbers or written request details, and automatic contact matching and enhanced page metadata must be disabled before this integration runs. Authenticated account pages, authentication links and private request pages do not load the Reddit Pixel. A generic completion page sends an opaque conversion identifier once a verified request is created. Advertising blockers, browser privacy controls or unavailable tracking settings may prevent measurement without preventing your request. You can manage cookies and advertising tracking using your browser and Reddit privacy settings. Reddit may process this information overseas under its privacy policy.
How we use information
We use information to operate accounts, display inquiries and business profiles to the appropriate users, match business interests, facilitate applicant-selected connections, send service notifications, review professional credentials, respond to requests and investigate misuse or faults.
Please keep inquiry descriptions limited to what is needed to find suitable assistance. Do not include passwords, passport numbers, identity documents or detailed health or financial records in an inquiry.
Before signing in, inquiry drafts are saved in your browser for 7 days after the last edit. Drafts stay on that browser, exclude the separate name, email and phone fields, and can be deleted using Delete draft. A draft is removed from the browser after successful posting.
Who can see it
Request summaries are available to the applicant who submitted them, approved professionals and authorised administrators. Applicants cannot browse other applicants’ written request titles or descriptions. Professional responses are available to the request owner and the responding professional. Applicants choose which interested businesses may receive their contact details. Selecting a business permits that business to access the contact details shared for that inquiry. Public visitors and other users can automatically see a request’s country and state/city, an automatically generated service-topic title and short summary (or a standard visa-category topic where no specific service is identified), registration time and connection status (including the number of professionals who expressed interest). Browse other requests displays only the separate public preview, not the original written title, full description, identity, contact details or individual responses. Public wording uses predefined service phrases rather than excerpts of the original request. It is generated when a request is submitted or edited. Existing requests are not automatically reprocessed. Limited activity is displayed without a separate opt-in. Activity is displayed for up to 30 days from request creation.
Authorised administrators can access information needed to operate and support the service. Providers supporting hosting, data storage, authentication and email delivery process information for those functions. These include Sites/Cloudflare, Supabase and our hosting and Titan email services. Notification emails may contain an inquiry title and a link to the platform.
We may disclose information where required by law or where reasonably necessary to address fraud, security incidents or legal claims. A selected business handles information it receives under its own privacy practices; please review those practices before proceeding.
Storage, security and overseas processing
Information is held in our application systems and those of our service providers. Access controls help limit access, but no online service can guarantee absolute security. Keep your sign-in details private and contact us if you suspect unauthorised access.
Providers may store or process information outside Australia. Processing locations depend on the services and their configuration; contact us for available information about the providers and countries relevant to your information.
We retain information while it is needed to provide the service and for legitimate security, record-keeping, dispute or legal purposes. Closing an inquiry does not automatically erase its related records. Audit records and backup copies may remain where necessary. We assess deletion requests against these needs and applicable law.
Your choices and requests
You can update available profile fields and notification preferences in the platform and manage device notification permission in your browser. Email us to request access, correction or deletion of your personal information. We may need to verify your identity before acting. We will explain any applicable limitation on a request.
You can permanently close your account from Account settings. This removes the service data listed there and your sign-in identity. Limited audit records or backup copies may remain where required for security, legal or operational purposes.
Information already shared with a selected business cannot be recalled through the platform. Contact that business separately about its copies. For a privacy concern, use our complaints process . You may also seek guidance from the Office of the Australian Information Commissioner .
